E+ Office Privacy Policy

Esperanza Real Estate Investments LLC

Effective November 3, 2026

In short: E+ Office is an internal office application used only by Esperanza Real Estate Investments LLC on its own computer. It reads Esperanza's own AppFolio and QuickBooks Online records to record bank deposits, after a staff member reviews each one. Nothing is shared with, sold to, or sent to any other party.

Who this covers

E+ Office is built for, and used only by, Esperanza Real Estate Investments LLC ("Esperanza"). It is not offered to the public or to other companies. The only people who use it are Esperanza's own staff, on an Esperanza office computer. This policy describes what the application does with the QuickBooks Online and AppFolio data it reaches.

What the application connects to

- QuickBooks Online (Intuit), through the QuickBooks Online Accounting API, after an authorized Esperanza staff member grants access with Intuit's sign-in. Esperanza can withdraw that access at any time, in the application or from the Apps page in QuickBooks.

- AppFolio Property Manager, Esperanza's own property-management account, read through a browser session that an Esperanza staff member signs in to. The application never holds the AppFolio password.

What is read and what is written

QuickBooks Online. Read: company name, chart of accounts, customer list, existing bank deposits. Written: bank deposits (split by account and customer, with description, amount and memo), each one only after a staff member has reviewed and approved it.

AppFolio. Read: bank deposits, their receipts (payer, property, unit, amounts, ledger allocations) and tenant recurring charges. Written: nothing. AppFolio is read only.

Where the data stays

- Everything the application keeps (the deposit plans, mapping rules and run logs) lives on the Esperanza office computer. Run logs are also included in Esperanza's own company backups.

- The QuickBooks access tokens are stored on that computer in encrypted form, with the key held in the computer's macOS Keychain.

- The application runs as a local service on that computer only. It has no public address and accepts no connections from outside it.

What is never done

- No data from QuickBooks or AppFolio is sold, rented or shared with any third party.

- No advertising, tracking or analytics of any kind.

- QuickBooks data reached through this connection is not sent to any AI service or any other online service. It is used only to prepare and record Esperanza's deposits.

Retention

Deposit plans and run logs are kept as long as Esperanza's accounting records require them and can be deleted by Esperanza at any time. Disconnecting QuickBooks in the application revokes the access tokens; the entries already recorded in QuickBooks remain Esperanza's own books.

Changes and questions

This policy is updated when the application's use of these systems changes, with the effective date above. Questions go to Esperanza's office administrator.
